Lease Administrator

About the role

Role Purpose

The Lease Administrator tracks lease renewals and critical dates across the client's portfolio, prepares and maintains lease documentation, and ensures that renewals and related actions are completed before they slip.

Core Responsibilities

  • Monitor lease expiry, renewal and option dates across the portfolio and flag upcoming actions well in advance.

  • Prepare renewal notices, lease amendments and related documentation using client-approved templates.

  • Maintain accurate, current lease files and records within the client's systems.

  • Track rent escalations, option periods and other critical lease terms.

  • Liaise with property managers and tenants on the status of renewals and documentation.

  • Support periodic audits of lease data for accuracy and completeness.

  • Escalate leases at risk of lapsing without timely action.

Qualifications and Experience

Qualifications

Diploma or Degree in Business Administration, Real Estate, Paralegal Studies or a related field.

Experience

One to three years of experience in lease administration, property management, contracts administration or legal support.

Skills and Competencies

  • High attention to detail and accuracy in document handling.

  • Strong document management and deadline-tracking discipline.

  • Working knowledge of lease terminology and standard lease clauses.

  • Proficiency with property management software and MS Office, particularly Excel.

Key Working Relationships

Works daily with the Team Leader on renewal pipeline status, with client property managers and tenants on documentation, and with the Delivery Manager on lease compliance reporting.
