Maintenance Coordinator
About the role
Role Purpose
The Maintenance Coordinator manages the end-to-end lifecycle of maintenance work orders for the client's property portfolio, ensuring that every request is logged, dispatched, followed up and closed out to the client's service standards, including the vendor chasing that would otherwise fall on the client's own property manager.
Core Responsibilities
Log maintenance work orders received from tenants, property managers or client systems accurately and promptly.
Dispatch work orders to the appropriate vendor or contractor from the client-approved vendor list.
Track work orders through to completion, proactively chasing vendors for scheduling and status updates.
Escalate delayed or unresolved work orders in line with the client's escalation protocol.
Maintain complete and accurate maintenance records for reporting and audit purposes.
Confirm completion and tenant or property manager satisfaction on closed work orders.
Contribute maintenance turnaround and vendor performance data to the monthly reporting pack.
Qualifications and Experience
Qualifications
Diploma or Certificate in Business Administration, Property Management, Facilities Management or a related field.
Experience
At least one year of experience in a coordination, dispatch, customer service or administrative role. Prior exposure to property management or facilities coordination is an advantage.
Skills and Competencies
Strong organizational skills and disciplined follow-up on open items.
Clear written and verbal communication with vendors, tenants and property managers.
Comfort working within ticketing or work order management systems.
Ability to manage a high volume of concurrent cases without losing track of any one of them.
Sound judgement in vendor relationship management and escalation.
Key Working Relationships
Works daily with the Team Leader on case load and escalations, with client vendors on scheduling and completion, and with the Delivery Manager on maintenance performance reporting.
